About Hoyt Arboretum
Hoyt Arboretum is Portland's global garden in the wild, where we grow and exhibit trees and plants from around the world while educating our community and conserving vitally important plant bio-diversity. Hoyt Arboretum relies on the support of Hoyt Arboretum Friends (HAF), a membership-based, nonprofit organization working in partnership with Portland Parks & Recreation.
Position Summary
Working under the supervision of the Program Director, the Volunteer Coordinator and Assistant to the Program Director will recruit and manage volunteers for HAF and will provide general administrative assistance to the Program Director.
The ideal Volunteer Coordinator and Assistant to the Program Director will have excellent organizational and communication skills. They will be able to manage, oversee and coordinate all types of people from all types of backgrounds, and can interact easily with all ages, socio-economic groups and personality types. They listen as well as speak clearly, keep good records, manage time well, and delegate by matching those volunteers best suited to a given need. Patience is a plus, as are kindness and consideration, while attending to time constraints or other demands.
Duties and Responsibilities
- Recruits new volunteers for various projects and appropriately fits them to HAF’s given needs
- Manages the volunteer staffing of the Hoyt Arboretum Visitors Center and Nature Store
- Fills in as needed for volunteer absences to ensure 100% store coverage
- Aides the Program Director in Nature Store management and general upkeep
- Aides the Program Director and Executive Director with special projects and administrative support
- Interacts with Hoyt Arboretum visitors
- Performs other related duties as needed
Knowledge, Skills and Abilities
- Knowledge of, or experience with volunteer recruitment, training and management
- Knowledge of Hoyt Arboretum
- Retail experience
- Experience with donor databases, Gift Works especially
- Excellent customer service skills
- Ability to communicate effectively both verbally and in writing with staff, employees and the public
- Good analytical and problem-solving skills
- Ability to operate standard office and retail equipment including but not limited to computers, copiers, scanners, calculators and point of sale systems
- Ability to use Microsoft Office and Microsoft Outlook
- Ability to follow oral and written instructions
Minimum Qualifications
- High School diploma or equivalent
Hours and Compensation
- $12 per hour
- generally 10 hours per week, will vary depending upon program assistance and need to fill volunteer absences
